The best security guard management software in 2026

Seven tools security guard companies use to run scheduling, patrols, reports, clients and pay, compared on what each company's own website says. Guardix is one of them, and we wrote this page.

By the Guardix team. Facts checked November 3, 2026.

Guardix wrote this page, and Guardix is one of the products on it, so read it as a vendor's guide, not independent research. We did not test the other products hands-on. Everything about them comes from their own public websites, read on November 3, 2026, with a link next to each statement.

Quick answer

There is no single best tool for every guard company. Guardix (our product), Belfry and GuardsPro each document every row of the table below. Guardix puts scheduling, geofenced clock-in, NFC, QR and GPS tours, reports, a client portal, dispatch, invoices and payroll files in one app. Belfry is the one to look at if you want payroll run for you, with direct deposit and tax filing. GuardsPro has the lowest published starting price, with scheduling, dispatch and invoicing sold as add-ons. TrackTik and TEAM Software aim at large operations and quote prices on request.

How we score

  • Each guide picks the features that matter for one need, the rows of its table.
  • A product scores one point for each row its own website documents, with a link you can open. The score is counted from the table, cell by cell; nobody typed it in.
  • “Not published” scores nothing. It may mean the website does not say, not that the product lacks it: ask the company.
  • Guardix's points come from our own fact sheet, checked against the Guardix app. A “No” in Guardix's column is something it does not do today.
  • The score shows what is documented, not how well a product works. We did not test the other products hands-on, and we do not rank them by quality.
  • Prices are shown as each company publishes them and are not scored.

Buyer's guide

Start from your week, not a feature list

Write down what happens in a normal week: who builds the schedule, how officers clock in, how patrols are proven, how reports reach clients and how hours become pay and invoices. Then ask each vendor to show those steps with your sites.

Check proof of service end to end

Clients pay for proof. Follow one shift from clock-in to tour checkpoints to the report the client receives, and check what the client sees without calling you.

Ask where the money steps live

Payroll and invoicing are often add-ons, a higher plan, or a file you download. Ask exactly how hours reach your payroll provider and your invoices, and what that costs.

Price the whole bill

Ask for a written quote for your number of officers, managers and sites, with add-ons, setup fees, hardware such as NFC tags, and minimum contract length.

Run a pilot at one site

Put real officers on it for two weeks before you move everyone. Officers who struggle with the app will stop using it, and the reports stop with them.

Questions and answers

What is security guard management software?
Software that runs a guard company's daily work in one place: schedules and clock-ins, patrols and checkpoints, incident and activity reports, what clients see, and the hours that become payroll and invoices.
Which security guard management software publishes its prices?
On November 3, 2026, GuardsPro and OfficerReports published prices on their websites, and Guardix publishes its plans on its pricing page. Belfry, TrackTik, TEAM Software and Novagems give prices on request.
Is Guardix the best choice?
It depends on what you need, and Guardix wrote this page, so weigh that. Guardix documents every row of this table, as do Belfry and GuardsPro (some rows as add-ons), but Guardix has no direct connection to payroll or accounting software today. If you want payroll run for you, look at Belfry; if you are a large contractor that needs an ERP, look at TEAM Software or TrackTik.
How did you score these products?
Each product gets one point for each row of the table that its own website documents, with a link. The score shows what is published, not quality, and we did not test the other products hands-on.
