Case Studies & Workflow Examples

See how the work connects.

Start with a familiar security challenge. Follow the people, records, and decisions involved. Explore how Guardix can support a more connected workflow across the field, the office, and the client relationship. The examples below are illustrative workflows, not customer testimonials or measured customer results.

01

Example 1: Make the patrol record useful to the next person.

Illustrative workflow · Patrols, reports, and client visibility

The challenge

A supervisor needs more context than a checkpoint timestamp to review the work at a property.

The Guardix workflow

Set up NFC or QR checkpoints with the required photos and questions. An officer records the assigned checks and observations. Authorized supervisors review the submission, document follow-up, and share permitted information with the client through the configured reporting workflow. Where enabled, AI can refine report wording for human review.

What to measure

Completion against the actual tour requirement, completeness of submitted evidence, time to review, and outstanding follow-up. A scan or photograph alone should not be presented as proof that every security duty was completed.

02

Example 2: Bring a call-off into the coverage workflow.

Illustrative workflow · Scheduling and dispatch

The challenge

An officer becomes unavailable and the team needs to assess the affected post, requirements, and replacement options.

The Guardix workflow

Review the shift and site instructions, identify available candidates for the assignment, and assess supported scheduling suggestions where enabled. An authorized person checks suitability, confirms the replacement, communicates the assignment, and reviews the arrival record. Purchased managed dispatch tasks follow the agreed coverage and escalation scope.

What to measure

Time from notification to a confirmed assignment, time to actual arrival, unresolved coverage gaps, and relevant approval records. Results depend on staff availability, response procedures, and the deployment.

03

Example 3: Follow the service record into financial review.

Illustrative workflow · Attendance, billing, and expenses

The challenge

Finance needs to understand how approved hours, different service rates, and site expenses contribute to a period's financial picture.

The Guardix workflow

Review recorded time and exceptions, apply approved rates, and prepare the relevant invoice or payroll handoff. Allocate expenses to the appropriate supported entities and review the available client or site financial report with its assumptions and missing items in view.

What to measure

Unresolved timecard exceptions, invoice adjustments, unallocated expenses, review time, and the completeness of cost inputs. A management report's reliability depends on the data and allocation rules behind it.
