Security guard shift swaps, open shifts and time off in Guardix
How security guard shift swaps work in Guardix: officers trade shifts, claim open shifts and ask for time off in the app, and a manager approves each one.

Security guard shift swaps, open shifts and time off are where a clean schedule usually falls apart: a text message here, a phone call there, and nobody is sure who is working the post on Saturday night. In Guardix, officers make each of these requests in the mobile app, and a manager approves or declines it, so the schedule always shows the change.
Key points#
- Officers can ask to swap a shift in the app: the other officer accepts first, then a manager approves.
- Managers can post open shifts, officers claim them in the app, and a manager approves or declines each claim.
- Officers request time off in the app, and managers approve or reject it.
- When a manager assigns a shift, Guardix flags clashing shifts and approved time off, and warns when the officer would go over their set weekly hours.
- Officers are notified when their shifts are published and get reminders before each shift.
The problem it solves#
Every guard schedule changes after it is published. Officers get sick, have family plans or want more hours. If those changes happen in private messages, the office learns about them late, or not at all.
The risk is simple: an empty post, or two officers at the same post and one billed hour. The fix is to keep every change inside the same system that holds the schedule, with a manager deciding each one.
How a shift swap works, step by step#
1. The officer asks#
An officer who cannot work a shift asks to swap it with another officer in the mobile app.
2. The other officer accepts#
The swap goes to the second officer first. Nothing changes until that officer accepts, so no one is put on a shift they did not agree to.
3. A manager approves#
After the other officer accepts, a manager approves the swap. Only then does the schedule change. The manager keeps the final word on who stands at each post.
Open shifts: let officers pick up hours#
Some shifts have no one assigned: a new client, an extra event, a gap left by a resignation. Managers can post these as open shifts. Officers see them in the app and claim the ones they want.
A claim is a request, not a booking. A manager approves or declines it, so the shift goes to an officer who fits the post. For gaps that still need filling, auto-assign can fill empty shifts using distance, availability, skills and cost.
Time off without the paperwork#
Officers request time off in the app, and managers approve or reject it. Approved time off then protects the schedule:
- When a manager assigns a shift, Guardix flags it if the officer has approved time off on that day.
- Before a schedule is published, the preview warns about shifts on approved time off, as well as open and understaffed shifts.
That means a manager sees the conflict before the officer does.
Guardrails on every change#
A swap or a claim can still put an officer on two posts or into too many hours. When a manager assigns a shift, Guardix flags clashing shifts and warns when the shift would put the officer over their set weekly hours. The manager decides with that warning in front of them.
What the officer sees#
Officers see their own shifts in the app and are notified when their shifts are published. They get reminders before a shift, and managers are alerted when an officer is late to clock in. Swaps, open shifts and time off requests all start from the same app.
What the manager sees#
Managers see each request waiting for a decision, approve or decline it, and see the result in the schedule. Schedules can be exported as a PDF or a CSV file for anyone who needs a copy.
Frequently asked questions#
Can security officers swap shifts without a manager?#
No. In Guardix, the other officer has to accept the swap first, and then a manager approves it. The schedule changes only after the manager's approval.
How do officers pick up extra shifts in Guardix?#
Managers post open shifts, and officers claim them in the mobile app. A manager then approves or declines each claim, so the manager still decides who works the shift.
Does Guardix stop me from scheduling an officer who is on time off?#
When a manager assigns a shift, Guardix flags it if the officer has approved time off, and the preview before publishing warns about shifts on approved time off. The manager sees the conflict and decides what to do.
Does Guardix warn about overtime when shifts change?#
Guardix warns when assigning a shift would put an officer over their set weekly hours. It also flags shifts that clash with ones the officer already has.
